Job Description

  • Manage intake calls (respond to phone and email inquiries, schedule intake appointments with appropriate therapist or APRN, answer practice -related questions).
  • High attention to detail and ability to prioritize various projects independently.
  • Ability to handle and provide straight-forward feedback to the administrative team members.
  • Be a problem solver and think ahead to ensure any challenges don’t greatly impact progress or outcomes for clients.
  • Ability to set goals and develop achievable timelines to hit them.
  • Have a growth mindset.
  • Other duties may be assigned.
  • Passion for working with others (being collaborative) and helping our team members grow and learn.
  • Have a 60% conversion rate monthly (contacts converted to confirmed appointments)
  • Coordinate with clinicians on filling their schedules.
  • Fill clinicians caseloads to POM Policies & Procedures.
  • Fill new hire caseloads according to POM Policies & Procedures.
  • Provide direction to clinicians and administration teams on best practices for improving scheduling processes.
  • Provide metrics to the Administrative Leader on intake stats.
  • Ability to identify areas where we need improvement in the client intake process and initiate the improvement measures.

Key Responsibilities

Qualifications

  • Prior experience working in mental health settings or acute care environments is highly preferred.

  • Knowledge of Peace of Mind Wellness & Family Counseling, Inc. client experience goals and how to achieve client satisfaction.
  • Previous experience with schedule management (in mental health field preferred)
  • Be able to lead and manage client intake and scheduling.
  • Be able to work independently on tasks assigned.
  • Have strong written and verbal communication skills and strong interpersonal skills.
  • Strong knowledge of medical terminology, CPT coding, ICD coding (ICD-9/ICD-10), and medical records management.
  • Experience working with individuals with mental health conditions or co-occurring disorders is essential.
  • Proficiency in EMR/EHR systems for documentation and data management.
  • Excellent client communication skills; bilingual abilities are a plus to serve diverse populations effectively.
  • Demonstrated ability to handle sensitive information while maintaining strict confidentiality in accordance with HIPAA standards.
  • Must be punctual in reporting to work.
  • Be organized and detail oriented.
  • Be a team player.
